Job Title: Office Manager

Location: Naples, FL
Company: Classic Pools of Naples
Reports to: Owner / Operations Manager
Salary Range: $55,000 – $70,000 per year (commensurate with experience)

Position Overview:

We are seeking an experienced and organized Office Manager to oversee the daily administrative operations of our pool construction business. This role ensures smooth office function, supports project coordination, manages client communication, and assists with accounting and HR functions. The ideal candidate has construction industry experience and is comfortable wearing multiple hats in a fast-paced, growing company.

Key Responsibilities:

Administrative Operations:

  • Oversee all administrative functions including phones, mail, emails, filing, and supply ordering
  • Maintain organized digital and physical project records
  • Develop and implement office policies and procedures

Customer Service & Communication:

  • Act as the first point of contact for client inquiries and provide excellent customer service
  • Coordinate scheduling with field staff and subcontractors
  • Send project updates and documentation to clients

Accounting & Financial Admin:

  • Assist with billing, invoicing, and collections
  • Reconcile vendor invoices and track expenses
  • Work with bookkeeper or accountant for payroll and reporting

HR & Compliance:

  • Help onboard new employees, maintain personnel files, and track time off
  • Ensure all insurance, licenses, and regulatory documents are current

Project Support:

  • Support project managers with permitting, inspections, and document tracking
  • Monitor project timelines and alert management to delays or issues
  • Maintain spreadsheets, CRM, and job cost tracking tools

Qualifications:

  • 3+ years of office management or administrative experience (construction or trades preferred)
  • Proficient in Microsoft Office, QuickBooks, and project management software (e.g., Buildertrend, JobNimbus, or similar)
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Detail-oriented and solution-focused
  • Bachelor’s degree required

Work Schedule:

  • Full-time, Monday through Friday (8:00 AM – 5:00 PM)

Compensation and Benefits:

  • Annual Salary: $55,000 – $70,000 depending on experience
